Cygnet Group are looking for a friendly, professional Ward Clerk with a passion for making a difference to others to join our team at Cygent Hospital Oldbury.
You'll be working 40 Hours per week (Monday to Friday, 08:00 am to 04:00 pm) at Cygent Hospital Oldbury, helping ensure the smooth and safe management of our care.
The Service:
Cygnet Hospital Oldbury is our state-of-the-art PICU & Acute hospital for women, in the West Midlands.
The service has two wards, a 12 bed PICU ward and a 15 bed Acute ward. Cygnet Hospital Oldbury has a full multi-disciplinary team (MDT) and supports the acute needs of adults requiring rapid access to mental health services, including those who may need an intensive care environment.
We're focused on length of stay and making sure individuals move as quickly and safely as possible from our services to the most appropriate and least restrictive environment for them. Individuals can step down through the pathways available within Cygnet services.
Referrals can come to us from all areas, including other acute services and prison services.
Your Day-to-Day:
Support clinical staff with ward administration tasks
Ensure accurate recording and timely distribution of information
File all patient case no tes and conduct regular audits to confirm paperwork is up-to-date and complete
Complete all ward filing in accordance with Cygnet policies
Answer phone calls, cover reception duties, and perform other administrative responsibilities as required
Ensure reports are submitted promptly and coordinate with medical secretaries to facilitate timely submissions
Distribute ward round and discharge summaries to external professionals
Provide coverage for colleagues during their leave periods (medical secretary, funding admin)
Manage the ward diary to ensure proper scheduling and planning
Attend morning meetings and ward rounds, take minutes, and circulate them to the team
You are:
Experienced in administration in a fast-paced hospital environment
Organised, diligent and can strictly adhere to processes & procedures
Knowledgeable of mental health & patient confidentiality issues
Skilled at inputting, pulling & analysing data using Microsoft Excel
Proficient in Microsoft Word, PowerPoint and other Microsoft Systems
An excellent verbal & written communicator with strong interpersonal skills
Able to swiftly solve problems & work under pressure without compromising quality
Minutes taking skills
Experienced in working with patients face-to-face within a mental health setting
